Job Description

As a Virtual Administrative Assistant, you’ll play a crucial role in maintaining the smooth operations of this dynamic psychology clinic. Your organizational prowess and attention to detail will be instrumental in managing a variety of administrative tasks, from email correspondence to invoice processing. This position offers a unique blend of healthcare administration and virtual work, allowing you to grow your skills in a flexible, remote environment. You’ll be supporting healthcare professionals and contributing to the overall efficiency of the clinic, ultimately helping to enhance patient care and satisfaction.


Responsibilities
  • Manage and respond to clinic emails with professionalism and efficiency
  • Process invoices and handle payment acceptance, ensuring accurate financial records
  • Maintain organized digital filing systems for clinic documents and patient records
  • Assist with calendar management and scheduling as needed
  • Support clinic staff with various administrative tasks to optimize daily operations
  • Collaborate with the virtual receptionist team to ensure seamless patient service
  • Contribute to process improvement initiatives to enhance clinic efficiency

Requirements
  • Proven experience in administrative roles, preferably in a healthcare setting
  • Fluent in French and English, with excellent written and verbal communication skill
  • Strong organizational skills with the ability to manage multiple tasks simultaneously
  • Proficiency in Microsoft Office suite and experience with email management systems
  • Familiarity with invoice processing and basic bookkeeping principles
  • Excellent written communication skills with a keen eye for detail
  • Ability to handle confidential information with the utmost discretion
  • Self-motivated with the capacity to work independently in a virtual environment
  • Bilingual (French-English) capability is highly desirable
  • Reliable internet connection and a quiet, professional home office setup
  • Fluent in French and English, with excellent written and verbal communication skills
