Clinical Operations Specialist
Job Description
Support doctor practices through efficient operations in the areas of exam management, EMR/appointment book operations, to include strategic priorities like telehealth implementation, equipment management, doctor training and development, IT strategy, and doctor-related marketing
Streamline and enhance the daily operations of practices by identifying areas for improvement and implementing efficient processes. Collaborate with practices to optimize workflow and maximize productivity
Manage processes and standard operating procedures to ensure doctor operational excellence and expense control
Initiate solutions to business opportunities that impact sales and patient service
Partner with support teams for reporting, training programs, company calendar, task force initiatives, OSHA-related topics, distribution of information, etc.
Develop SOPs and process documentation to aid in the implementation of best practices, behaviors, and operational initiatives within practices and central operations
Support doctor-related aspects of new relocation/remodel, practice projects, and the coordination of practice closings/moves
Support large-scale initiatives and rollouts, collaborating with practices and other business areas to guarantee success
Find creative strategies to drive KPIs that include thinking outside the box by leveraging contests, incentive programs, etc.
Participate in defining, planning, implementing, and optimizing central operational processes, systems, and procedures, working in collaboration with internal and external business partners to create the best practice operations in the industry
Identify operational challenges and address them proactively, seeking solutions to ensure smooth day-to-day operations. Collaborate with cross-functional teams to help support practice operations
Ensure effective communications are maintained within the unit and externally conducting and attending meetings as needed to share new information and changes
Work with various types of data to analyze business functions and combine such data to provide effective reporting for management, accounting, and practice locations
Job SpecificationsTypically has the following skills or abilities:
Bachelor’s degree in a related field or equivalent experience
4+ years of experience in business operations or healthcare management environment
Experience in the optometric industry with a strong understanding of optical office flow, optical software, OD equipment, and clinical SOPs
Experience implementing change processes that involve doctors in practices; skilled in examining and re-engineering operations and procedure
Strong business acumen including experience working with KPIs and other performance metrics
Experience working with external vendors and employees at multiple locations
Advanced knowledge of MS Excel, Word, and Outlook
Shows the ability to welcome change and lean towards ambiguity
Demonstrated ability to analyze and improve work processes and to develop plans, SOPs, and process documents to accommodate growth
Highly organized, self-motivated, and driven with the ability to adapt quickly to changing priorities; able to work against and meet tight and aggressive goals and deadlines
This position will require approximately 20% travel
Compensation range for the role is listed below. Applicable salary ranges may differ across markets.Actual pay will be determined based on experience and other job-related factors permitted by law.
