The Construction Operations Coordinator will support company growth by managing daily operations, implementing efficient systems, ensuring accurate financial management, and maintaining high-quality standards in sustainable construction.
Key Responsibilities
Financial Management
- Maintain bookkeeping using Dext and Wonderbuild software.
- Generate monthly budget reports for cost-plus projects.
- Ensure 100% accuracy in expense allocation and cost coding.
- Prepare client invoices based on project progress.
- Assist with cash flow management and financial tracking.
- Update work diaries and timesheets in Wonderbuild.
- Schedule contractors and confirm daily schedules.
- Manage material orders and inventory, including specialized passive house materials.
- Conduct job audits and quality control checks.
- Support prefabrication processes, including SIPS panels.
- Send regular project updates and manage client inquiries.
- Process variation requests and Extension of Time (EOT) notifications.
- Ensure transparent communication with clients and internal teams.
- Organize project documents, including council approvals and certifications.
- Manage documentation for passive house certifications.
- Optimize Wonderbuild software and integrate with other systems like Dext and ProCalc.
- Transition work diaries and timesheets from NextMinute to Wonderbuild.
- Track and report sustainability metrics.
- 100% accuracy in expense allocation.
- Monthly financial reports delivered within 3 business days of month-end.
- 95% on-time task completion rate.
- Client satisfaction rating of 4.8/5 or higher.
- Responses to client inquiries within 24 hours (95% of the time).
- Oversee 6-8 concurrent projects with a team of 15.
- Contribute to operational efficiency and sustainable building practices.
- Maintain 100% success rate in passive house certifications.
RequirementsRequirements
- Proficiency in Wonderbuild and Dext software.
- Strong understanding of construction project management and cost-plus contracts.
- Excellent organizational and communication skills.
- Knowledge of passive house standards and certifications.
- Ability to manage multiple projects simultaneously.
- Knowledge of Australian building regulations.
- Experience in sustainable construction.
- Familiarity with construction management software.
- Basic understanding of architectural and engineering principles.
