Job Purpose

Reporting to the Manager, Content Permissions, the Content Permissions Specialist will contribute to the research, vetting, copyright clearance, and acquisition of third-party assets which includes stock images and photography, fine art, text, video, and audio across all print and digital products. This role will use their expertise to clear assets requested by content authors, catalog and track cleared items, and create credit manuscripts to attribute assets in all print and digital products and projects.

Responsibilities
  • Obtain permission for use of third-party assets with Great Minds products by conducting research, determining if multiple rightsholders exist, requesting permissions, and ensuring permissions are obtained.
  • Request permissions directly from rightsholders or through online permission portals, including customizing permission request letters.
  • Review and approve permission agreements by confirming necessary rights, identifying any usage restrictions, negotiating fees and discounts when possible, and capturing complete and accurate credit information.
  • Deliver assets with accurate metadata, applicable rights, and credit information, including authoring credit information.
  • Submit and monitor permission licenses and invoices for company signature and direct payment to rightsholders.
  • Maintain file management of assets and metadata in the digital asset management system and permissions log.
  • Collaborate with authoring teams to assess their future needs and utilize Great Minds publishing and image stock house agreements to identify high quality content.
  • Confirm public domain assets and provide fair use analysis.
  • Monitor permissions spend in relation to budget.
  • Cultivate productive relationships with third party sources and rightsholders to streamline the process of acquiring permissions to use content.
  • Communicate permissions gaps to content teams and researches and provides back-up image options as necessary.
  • Contribute to multiple projects simultaneously.
  • Collaborate across teams to ensure the highest quality work product, and resolve issues, conflicts, and misunderstandings that occur during a project.
  • Adhere to a deadline-driven workflow by completing the appropriate scope and sequence of work within the desired timeframe.
  • Maintain ongoing communication with product leaders and cross functional teams to mitigate risks, identify issues, address setbacks, and communicate decisions transparently with a solution-oriented approach.
  • Cultivate strong working relationships with professionals throughout the organization, especially cross-functionally, to ensure vision, strategy, and products align to Great Minds’ mission and goals.
RequirementsRequired Qualifications
  • Minimum of 3 years’ experience working in rights and permissions, including image research, permissions clearance, and contract negotiations in educational publishing
  • Experience participating in an iterative cycle of ideation, thought partnering, prototyping, drafting, development, review, and revision
  • Knowledge of copyright principals, rights, permissions, and licensing practices for third-party assets including stock images and photography, fine art, text, video, and audio
  • Alignment to the philosophy, content development principles, and instructional design of Great Minds’ knowledge-building vision
  • Ability to adapt to changing business needs
  • Proven track record demonstrating personal accountability, urgency, and persistence in completing high-quality work products, preferably in a fast-paced publishing environment
  • Capacity to receive and then apply external and internal feedback from advisors, senior leadership, consultants, and colleagues
  • Written, verbal, and social communication skills needed to incorporate different points of view in service of developing a high-quality product aligned to organizational vision
  • Strong organizational habits necessary to execute goals, project manage and contribute to decisions
  • Capacity to handle incredibly precise and detail-oriented work, using sets of guidelines
  • Ability to problem solve to create high-quality products by established deadlines
  • Comfortable using technology and willingness to learn new applications
  • Facility working with tools required within digital spaces (e.g. Smartsheet, SharePoint, Excel, InCopy, MS Office 365, Google suite)

The expected base salary range for this position is $60,000-$71,000, however the offered salary may be higher or lower than the above range dependent on numerous factors including, but not limited to location, work experience, skills and internal equity considerations. The base salary is not inclusive of benefits or other incentives.
