Summary

The Wikimedia Foundation is seeking a Manager, People Experience to join the People Department.  We believe that our people are our most important asset, and the policy and practice work of our People department is critical to identifying, supporting, developing, and retaining excellent colleagues who advance the Foundation’s mission.  This role will report to the Sr. Manager, Global People Experience and will manage a US team to provide expertise on US-based employment regulations, HR policies, US benefits regulations, and HR compliance across multiple states where our employees are based. In addition to a deep understanding of HR, this individual will incorporate our people-first philosophy and organizational values to serve foundation staff.

Responsibilities:
  • Lead and manage the US team supporting the employee life-cycle processes in the onboarding, off-boarding, policies, benefits, and wellbeing programs, while managing and maintaining vendor relationships. 
  • Oversee and ensure compliance with all federal, state and local laws and regulations for US employees. Compile data for annual required statutory reporting (e.g. EEO-1, state specific pay data reports, etc).  Work closely with the payroll, legal and finance teams to monitor compliance and address employee questions. 
  • Execute and contribute to the development, documentation and communication of our organizational policies, practices, and processes
  • Ensure timely updating of data on the HRIS (Dayforce). Provide inputs to optimize processes on the HRIS (Dayforce) and work on the implementation and documentation of approved processes.  
  • Provide guidance to the Senior Benefits Specialist in the administration of the benefits programs for US employees.  This includes, but is not limited to: managing the broker relationship and contracts; partnering with the broker on annual benefit renewals and changes; open enrollment implementation; vendors relationships, renewals and invoicing; 
  • Collaborate with external counsel to lead immigration support for US employees, including sponsorship for H-1B visas and green card applications.
  • Manage the accommodation and leave policies and processes ensuring compliance with all Federal, State and local regulations and guidelines.  Collaborate with HR Business Partners to ensure clear communication and coordination with managers and staff.  Review and refine the leave administration process through the third party Management system, Tilt.
  • Work with the broader People Experience team on various projects to create harmonized processes and programs for a global impact
  • Partner cross-functionally with other People department functions such as Recruiting, Growth and Belonging on different initiatives
Skills & Experience:
  • 8+ years of progressive operations experience in human resources including at least 2 years managing a distributed team with scope across multiple US states
  • Bachelor's degree from an accredited college/university preferably in human resource management or equivalent work experience; PHR/SPHR certification preferred
  • Must demonstrate solid knowledge and understanding of federal, state and local laws across multiple states including CA.  
  • Extensive benefits administration experience (e.g. FMLA, ADA, HIPAA, ERISA, etc)
  • Proven track record to partner cross-functionally and build consensus within a team
  • Experience managing operations at scale and within SLAs while handling confidential/sensitive information with grace and care
  • Strong proficiency in Excel and Google Suite
  • Demonstrated ability to work independently and as part of a team, including being adaptable to work with a variety of personalities and nationalities
  • Able to work in an open, fast paced and collaborative environment
Nice to have:
  • Experience in a non-profit environment or tech industry
  • Experience managing a team utilizing a ticketing system such as Zendesk
  • Ability to work remotely and in a flexible manner across US time zones and with a globally distributed organization

The Wikimedia Foundation is a remote-first organization with staff members including contractors based 40+ countries*. Salaries at the Wikimedia Foundation are set in a way that is competitive, equitable, and consistent with our values and culture. The anticipated annual pay range of this position for applicants based within the United States is US$113,013  to US$167,447  with multiple individualized factors, including cost of living in the location, being the determinants of the offered pay. For applicants located outside of the US, the pay range will be adjusted to the country of hire. We neither ask for nor take into consideration the salary history of applicants. The compensation for a successful applicant will be based on their skills, experience and location.
