Job Description
The Operations Director (or Director of Project Management) is responsible for overseeing and optimising operational efficiency, ensuring the successful delivery of client and internal projects, and enhancing workflows and system adoption/automation across GRIP. The role involves leadership skills in planning, managing, and delivering projects, while encouraging good collaboration between teams, mainly project management, sales and production to achieve defined business goals.

RequirementsWhat will you do?Strategic Planning & ManagementDevelop and implement operational processes together with the head of Growth and head of professional services. Proactively suggest improvements to running processes, and after approval, implement them and safeguard adherence to the new process.
Lead the project management team, ensuring balance in workload and exposure to projects of various natures
Define project priorities and project allocation based on relevance, experience and utilisation metrics (timesheets and personal evaluations)
Collaborate with Head of Growth to define KPIs and operational goals
Establish and report on project lifecycle status in a consistent manner
Drive automation initiatives across the project management community
Oversee the project management process ensuring delivery on time, profitability (in line with pre-agreed client budgets), and to ensure high delivery standards
In collaboration with the vertical lead and head of professional services, ensure projects are executed based on a sound plan, following project management best practices. The delivery operations lead ensures changes to any plan happen in a controlled way and are documented properly. Coach the team with client communication
Serve as an escalation point for delivery (internally and externally)
Create necessary documentation, templates and training material
Standardise workflows and client communications
Monitor project progress, resolve escalations, and mitigate risks (internal and external)
Promote and demonstrate a culture of ownership, personal accountability and proactive communication throughout the project management community
Identify structural issues and advise the Grip leadership team on improvement initiatives
Identify opportunities for process improvement and implement best practices
Streamline operations by ensuring adherence and consistency in process, tools and technology used
Oversee handovers and project covers when project managers are on leave
Create documentation structure and organisation for easy information gathering and sharing
Ensure the team adheres to SLAs and delivery standards
Ensure projects are run financially sound, consistently meeting cost and on-time delivery targets.
Optimise reporting and data management throughout the project management lifecycle
Manage and coach the project management teams to ensure top performance (internal and external success measurement)
- Plan and manage recruitment process
Organise and conduct performance reviews, working closely with Head of Growth to determine career development opportunities for each member of the team
Encourage a positive culture of collaboration, proactivity, and accountability
Arrange and conduct training and development of team members to enhance skills and productivity
Define and monitor performance metrics to assess operational and project performance: profitability, meaningful client updates and timely responses to questions/queries
Oversee weekly and monthly revenue forecasts to be reviewed with Head of Growth
Generate reports for Head of Growth and GRIP Leadership Team, highlighting successes, risks, and areas for improvement
Use data for operational efficiencies and project management planning
On-time and high-quality delivery of projects
Operational cost efficiency and profitability

Team productivity and client engagement satisfaction
Client retention driven by highest and consistent standard of delivery
Promote platform usage (internal and external)
Would be amazing if you have:
10+ years of experience in project management or related roles
Proven track record of delivering large-scale projects successfully
Experience working with external senior stakeholders
Proficiency in project management methodologies (e.g., Prince2, PMP, Agile or a combination thereof)
Familiarity with project management software (e.g. Microsoft Project, Airtable, Clickup, Smartsheet, Asana, Jira etc.)
Strong understanding of budget management and financial forecasting
Experience with data management and reporting (e.g. PowerBI or custom reporting solutions)
Exceptional decision-making and problem-solving abilities.
Proven ability to manage and motivate large teams
- Strong written and verbal communication
Ability to convey complex ideas to a variety of audiences
- Excellent stakeholder management skills
- Excellent English language skills
